Changing FM provider without losing your records
Contractors change. The building remains. Its evidence history, asset information and compliance record should remain with it.
Continuity is an ownership decision
Keep the owner as the permanent record holder. Give providers role-based access to deliver work, then remove access without removing the evidence they published.
Separate the owner record from contractor access
The duty-holder should be the permanent account holder. FM companies and specialist contractors need controlled access to deliver and publish evidence, but the building history must not belong to whichever provider currently holds the contract.
Plan mobilisation around evidence continuity
Agree asset identifiers, document ownership, open actions, evidence status and access removal before the handover date. Preserve historical entries and record corrections as new, attributable information.

If the outgoing provider lost access this evening, could the owner and incoming provider still see every asset, published certificate, open action and applicable duty tomorrow morning?

Preserve asset identity, evidence history, open findings, applicability decisions, responsible people and future due dates. Remove access rights, not published history.
