The register should drive decisions
A useful register does more than identify equipment. It shows condition, criticality, compliance position, expected life, documents and the permanent evidence history for the asset.
Start with ownership and hierarchy
Define the permanent owner of the record, then structure portfolio, site, building, space and asset consistently. Avoid allowing each contractor to create a separate version of the same estate.
Record the fields that change decisions
Identity and location are only the start. Useful records include asset type, manufacturer, model, serial number, installation date, condition, criticality, fuel or system characteristics, expected life, replacement cost band and the evidence that supports those values.
Common register weaknesses
Duplicate identifiers, inconsistent locations, missing installation dates and records owned by individual contractors all reduce the value of a register. Missing information should be visible and prioritised rather than hidden.

Confirm ownership, hierarchy, asset type, exact location, manufacturer, model, serial number, installation date, condition, criticality and the evidence source for each important field.
